Dealer Hub Lead Manager: Turning marketplace demand into sales

Research shows that 35–50% of vehicle sales go to the dealer who responds first. As customer enquiries become increasingly fragmented across systems and channels, Vend has built Lead Manager in Dealer Hub to help dealers respond faster and convert demand into more sales.

Dealer Hub brings listings, leads, and insights into one unified workspace for professional dealers.

In automotive retail, every customer enquiry represents a potential sale. Yet for many dealers, lead handling remains fragmented across emails, spreadsheets, CRM systems, phone calls and marketplace notifications, making it difficult to respond quickly and consistently.

To help dealers capture more value from marketplace demand, Vend has developed Lead Manager – a core capability within Dealer Hub that brings customer enquiries, notifications and lead workflows together in one place. By helping dealers respond faster and more consistently, the solution also contributes to a better experience for car buyers using Vend marketplaces.

Turning marketplace demand into sales

The automotive industry has become increasingly digital, but many dealerships still manage customer enquiries through a combination of disconnected systems and manual processes.

For Anders Herning, Product Manager for Dealer Hub Lead Manager, this was one of the clearest insights to emerge from the product development process.

Anders Herning, Product Manager in Vend"One of the biggest challenges we saw was how fragmented lead handling had become. Many dealerships often juggle multiple systems, workflows and manual processes, making it difficult to maintain oversight and ensure every sales opportunity are followed up effectively," says Anders Herning.

For dealers, the consequences extend beyond operational complexity. Slow response times can directly impact sales performance.

"Leads are the currency of our customers' investment in the marketplace. When dealers invest in advertising, they expect results. Our responsibility is not only to generate demand, but also to help dealers capture as much value from that demand as possible," says Herning.

Lead Manager was built to help dealers respond faster, create more structure around lead handling, and reduce the risk of missed opportunities.

Built around real dealer workflows

Rather than developing features based on assumptions, the Dealer Hub team have worked closely with dealers throughout the development process.

Through discovery workshops, customer interviews, dealership visits, beta testing and ongoing feedback sessions, dealers became active participants in shaping the product.

The feedback revealed that lead management looked very different from dealership to dealership. Some relied on advanced CRM systems, while others handled enquiries through email inboxes, spreadsheets or even manual processes.

"Our most important principle was staying close to how dealers actually work. We continuously tested ideas, gathered feedback and adjusted our priorities based on what we learned. In several cases, customer input directly changed the solutions we built," says Herning.

Customer collaboration led to several product decisions, including redesigned lead notifications and the development of a new Lead API that allows dealers to integrate marketplace enquiries directly into their own systems.

One solution, multiple dealer needs

Lead Manager is designed to support dealerships of all sizes.

Lead Manager instantly notifies dealers of new enquiries, enabling faster responses and a better experience for buyers. For smaller and medium-sized dealers, the platform provides a complete lead management workflow with dashboards, lead statuses, notifications, ownership assignment and notes, making it easier to keep track of every customer enquiry and ensure consistent follow-up.

For larger dealer groups already using dedicated CRM platforms, Lead Manager offers integration capabilities that allow enquiries from Vend marketplaces to flow directly into their existing systems through APIs and automated workflows.

This flexibility ensures that dealers can work with the tools that best fit their business while maintaining visibility into the performance of their marketplace leads.

Creating structure in an increasingly complex market

As competition intensifies and customer expectations continue to evolve, dealers need better tools to act quickly and make informed decisions.

Lead Manager is one example of how Dealer Hub is evolving beyond traditional marketplace functionality to become a broader operating platform for professional dealers.

By combining demand from Vend's marketplaces with workflows, insights and automation, the ambition is to help dealers spend less time managing systems and more time serving customers. When dealers can respond faster, maintain better oversight and provide a more professional sales experience, both sides of the marketplace benefit.

The best marketplace experience is created when both buyers and sellers succeed. Lead Manager was built to help make that happen.
